JOB POSTING: Administrative & Project Assistant (part-time)
Job Title: Administrative Assistant & Project Assistant(part-time)
Employment Term: Annual (renewable) contract, subject to an initial three-month probation period and annual performance evaluations
Hours: 5 days per week, 9 am – 1 pm (20 hours/week) with some flexibility and possibility for remote/in-office hybrid
Salary: $25 per hour, plus competitive benefits after probationary period
Bilingual: Excellent oral and written fluency in English and French is required for this position
Location: The office is located in the Charlotte Street Arts Centre 732 Charlotte Street, Room 133, Fredericton NB
Reporting directly to the Executive Director, the Administrative & Project Assistant will:
- – Answer general inquiries in EN/FR and direct to appropriate staff
- – Order and maintain office supplies and equipment
- – Prepare bank deposits, pay bills directly at our banking branch, and communicate with our Bookkeeper and Accountant regarding Craft NB Financials
- – Prepare research and data analysis reports
- – Update the website in both EN/FR
- – Translate documents and correspondence
- – Take notes at committee meetings and write up minutes in English and French;
- – Maintain proper reporting systems for staff working hours, overtime, sickness, and vacation
- – Coordinate with Service Canada, The Province of New Brunswick, Craft NB Membership and other stakeholders/providers as required
- – Fill out required paperwork for new employees and board members
- – Maintain records and files in a neat and orderly fashion
Related tasks:
- – Perform all duties assigned by the Executive Director
- – Support the team in preparation of the AGM and any other projects or events as assigned to you.
- – Assist in other special projects, such as conferences, galas, sales or festivals
- – The position may require occasional travel within New Brunswick and on occasion, special event evening/weekend work
Education and Experience:
- – Post-secondary diploma / degree or equivalent experience;
- – Minimum 2 years of administrative support experience, preferably in the charity or not-for-profit sectors.
Required Qualifications:
- – Excellent English and French communication skills, both written and spoken
- – An ability and comfort working independently and in a tightly integrated team
- – Outstanding time management skills
- – Your own source of transportation is necessary
- – Excellent interpersonal and customer service skills
- – A good understanding of the art sector in NB would be an asset
- – Familiarity with preparing deposits and basic bookkeeping is considered a strong asset
- – Data analysis, budget management, and reporting capabilities (Microsoft Excel)
- – Knowledge of wordpress website design, membershipworks, and Asana software would be considered a strong asset
- – A facility with online technology and virtual communication tools (Zoom) is necessary
